Information for Department Administrators
Departments will adjudicate student award applications and select recipients for the above award types via RHSE’s online app called the Summer Research Awards Management System (SumRAMS). In addition to the information below, departments will be notified when the SumRAMS app becomes active and will receive detailed instructions on how to use the SumRAMS app.
Advertising the Award
Departments are encouraged to advertise these awards widely to attract a broad and diverse applicant pool. Please direct students to complete the SumRAMS form.
Award Allocation
After logging into the SumRAMS app, departments will be able to see the awards which have been allocated to your unit. Note that UROP awards have subtypes based on designated research areas, as specified by the relevant award donors. Likewise, UTEAs have subtypes based on tri-agency classification.
Adjudication and Selection of Recipients
Deadline: March 13, 2025 at 5 pm ET
Departments are responsible for adjudicating and selecting recipients based on a competitive process which considers equity, diversity and inclusion (EDI) principles. The process is managed solely and independently by the unit; RHSE is not involved in the adjudication and selection process.
The SumRAMS app will automatically assess the eligibility of students for UROP, RHSE USRS and UTEA awards, based on the information entered in their application form. Each department is responsible for verifying eligibility requirements are met. Please ensure:
-
The research project to be undertaken by the student aligns with the area of research indicated for a specific award subtype and
-
All eligibility criteria have been met for students and supervisors.
Departments must have their recipients and nominees entered in SumRAMS by March 13, 2025 at 5 pm ET.
Award Notification
Departments are responsible for notifying award winners and confirming acceptance of the award by the recipients. In the event of an award not being accepted, the department may give the award to another eligible applicant.
If the department is unable to use an award, it may be returned to RHSE. RHSE will then determine whether the unused award will be reallocated to another department.
Fund Transfer
Funds for UROP and RHSE USRS awards will be transferred from RHSE to departments in mid-late May. Funds for UTEAs will be transferred by the central research office.
